📋 1. Agreement to Terms

By accessing or using the website and services of Unite Business Automation ("Company", "we", "us", "our"), you agree to be bound by these Terms and Conditions. If you disagree with any part of these terms, you may not access our services.

📌 Important: These terms apply to all visitors, users, clients, and others who access or use our services.

📄 2. Project Process & Documentation

Every project follows a structured process to ensure quality and transparency:

  • Step 1: Initial consultation and requirement gathering
  • Step 2: Project proposal and quotation
  • Step 3: Signing of project agreement/document
  • Step 4: UX/UI design phase
  • Step 5: Development phase
  • Step 6: Testing and quality assurance
  • Step 7: Deployment and handover
  • Step 8: Post-launch support (60 days free)
📌 Important: Every project must be signed off with a formal document before any work begins. No verbal agreements will be considered valid. A signed agreement is mandatory for project commencement.

🎨 3. UX Design Requirement

At Unite Business Automation, we believe great software starts with great user experience.

âš ī¸ CRITICAL POLICY: Without approved UX design, we cannot proceed to development. No exceptions.

Our process requires:

  • Complete UX/UI design approval before any code is written
  • Client sign-off on wireframes and mockups
  • Final design approval documented in writing

This approach ensures:

  • Clear visualization of the final product
  • Reduced rework and development costs
  • Faster development once designs are approved
  • Higher client satisfaction with end product

💰 4. Payment Terms

4.1 Standard Payment Terms

  • Deposit: 50% advance payment required before starting any project
  • Final Payment: Remaining 50% due upon project completion and delivery
  • Invoicing: Invoices sent via email, payable within 7 days
  • Late Payment: 10% late fee applied to payments overdue by more than 15 days

4.2 New Tasks Not Included in UX

💰 IMPORTANT: Any new task, feature, or requirement that was NOT included in the approved UX design will require additional payment.
  • New features discovered during development require a separate quote
  • Additional payments must be made before work on new tasks begins
  • Scope creep will be documented and billed separately
  • Changes to approved design require a change request form

4.3 Refund Policy

  • Deposits are non-refundable once UX work has commenced
  • Development deposits are non-refundable after coding begins
  • Completed work delivered is fully billable

⏰ 5. Timeline & Client Responsibilities

5.1 Estimated Timelines

Project timelines provided in proposals are estimates based on information available at the time. Actual timelines may vary based on project complexity and client responsiveness.

5.2 Client-Provided Content & APIs

âš ī¸ TIMELINE IMPACT: If you provide APIs, content, or assets late, the project timeline will be extended accordingly.
  • API integration depends on timely provision of API credentials and documentation
  • Content delivery delays will push back development and testing phases
  • Third-party dependencies are not under our control
  • We are not responsible for delays caused by client or third-party actions

5.3 Client Responsibilities

  • Provide timely feedback on designs and deliverables
  • Supply all required content, images, and assets on schedule
  • Provide API access and credentials when needed
  • Designate a single point of contact for project communication
  • Review and approve deliverables within 3-5 business days

🔧 6. Post-Project Support Policy

6.1 Free Support Period

✅ FREE SUPPORT: After project completion, we provide 30 days (1 month) of free support for bug fixes and minor issues.
  • Duration: 30 days from the date of final project delivery and sign-off
  • Coverage: Bug fixes, technical issues, and minor adjustments
  • Response Time: Within 24-48 business hours
  • Scope: Issues directly related to the delivered software

6.2 What is Covered in Free Support

  • Bug fixes and error corrections
  • Technical issues affecting functionality
  • Compatibility issues with supported browsers
  • Minor UI adjustments (text changes, color adjustments)
  • Database or server connectivity issues

6.3 What is NOT Covered (Additional Charges Apply)

âš ī¸ NOT COVERED: The following require separate paid support or new project quotes:
  • New features or functionality not in original scope
  • Major design or layout changes
  • Third-party API changes or updates
  • Server migration or hosting issues (unless hosted by us)
  • Training new staff members on the system
  • Data entry or content updates
  • Integration with new third-party systems

6.4 Paid Support (After 30 Days)

💰 AFTER FREE SUPPORT PERIOD: Support is available at our standard hourly rates or via monthly maintenance packages.
  • Hourly Rate: BDT 1,500 - 2,500 per hour (depending on complexity)
  • Monthly Maintenance Package: Starting from BDT 10,000 per month
  • Dedicated Support Retainer: Custom pricing based on requirements
  • Emergency Support: Additional 50% on standard rates for after-hours support

6.5 Support Request Process

  • All support requests must be submitted via email to: it@ubautomation.com
  • Please include "SUPPORT" in the subject line
  • Provide detailed description and screenshots if possible
  • Urgent issues will be prioritized
  • Support tickets are tracked and responded to within 24-48 hours

6.6 Emergency Support

For critical issues affecting business operations (website down, system not working, data loss):

  • Response within 4-6 hours during business days
  • Emergency support number provided to clients on maintenance package
  • Additional emergency fees may apply for non-contract clients

You retain ownership of any content, data, or information you provide to us. You grant us a license to use this content solely for the purpose of providing our services to you.
